That way, you'll prevent typing mistakes and people ordering things that aren't available. To start, we're going to create a list of items and we've done that on the sheet called Lists. We've typed the items in column B and now i'm going to select all those cells and we're going to give that a group of cells a name. To do that we'll click in the name box and type -- this is going to be FruitList -- the name has to be all one word We'll type, and then press the Enter key, and now with those cells selected, you can see the name Now we'll go back to be order sheet which is called data entry, and we'll select the cells where we want the list To create the list we'll use data validation, so go to the data menu, and click validation On the settings tab we'll select List -- that's what we're going to allow For the source, we start with an equal sign, and then type the name of our list Or on your keyboard you can press F3, and that will bring up a list of all the names that you've created So there's FruitList. Click ok and now it's entered for us We'll click OK, aand now you can click on any of those cells and select from the drop-down list

Excel Video 80 focuses on how to change and format the Vertical Axis. It's easy to change the units (thousands, millions, etc.), which side of the chart the Axis is on, and to reverse the axis so the lower values are on the top of the chart. The heart of Excel Video 80 is how important it is to recognize the scale being used on the Vertical Axis. Watch the examples to see how much a chart can change based on the Vertical Axis scale. If you want to minimize the appearance of variability in your data, choose a very large scale for the Vertical Axis. If you want to magnify smaller changes in the data, choose a much smaller scale for the Vertical Axis. It's easy to change the minimum and maximum axis values from the Format Axis window. You can also control major and minor tick marks from the Format Axis window. You can choose whether the tick marks appear and the intervals at which the tick marks are set. Lots of tick marks and gridlines can make a chart cluttered and hard to read, but there are occasions where the tick marks will really emphasize your point. Finally, you can control where the Horizontal Axis crosses the Vertical Axis. I demonstrate two different ways to set that point, using the Horizontal Axis Crosses section and by setting the minimum axis point. Excel treats these options differently, so look at both ways to decide the way you want your chart to appear.

Every new version of Excel takes customization to a new level. People want to use different shortcuts, they want specific abbreviations to be converted to words or the duration of Auto-saving the workbook. Even the slightest of detail can be customized in Excel; all you have to do is know which option can be changed by going where. Follow this step by step tutorial to learn how to set options in Excel. Step # 1 -- Viewing the Mini toolbar When you open an Excel Workbook and highlight data you will see that a box appears, this box is known as the "Mini toolbar". Through this Mini toolbar you can do some formatting to your text. You can make your text bold or change the font color or change the size of the text. This Mini toolbar option is set by default and if someone wants to remove this option it can be done so you can customize in Excel. Step # 2 -- Hide Mini toolbar In order to remove the Mini toolbar feature go to the "File" tab, which is also known as the "Backstage view". Click on the "Option" button and "Excel Options" box will open. When the box opens in the "General" tab, uncheck the first option by the name of "Show Mini toolbar on Selection" and click on the "OK" button. Now when you will highlight the data the Mini toolbar will not be displayed. Step # 3 -- Click on Auto correct options button Under the General tab there are 9 other tabs from where options can be changed. Click on the "Proofing" tab and select the "Auto Correct Options" button. A new box will open, under the title "Replace" write "rztc" and under the "With" title write "RedZone Tyre Company". Each time you will write the abbreviation it will be replaced by "RedZone Tyre Company". Step # 4 -- Change the Auto Save timing Click on the "Save" tab and change the Auto Save settings to "5" minutes. Now every 5 minutes the Auto Recover information will be saved. After "Save" tab "Language", "Advanced" and other tabs come. You can change the settings of these tabs as well. Settings can be changed from each tab and you have to find out what option in Excel lies where.

In this section, we’re going to look at Excel Options which is probably the most important aspect of Microsoft Excel, certainly in terms of setting up to suite the way that you work and to suite your own installation. If you’re new to Excel there’s what may seem like a baffling array of options that you make decisions about. But in fact with Excel Options, provided you’ve got one or two of the simplest ones in place first and I’m going to point those out to you now. Then, the others you can deal with as you come to them and during the rest of the course I’ll refer you back to Excel Options. So first of all, let’s look at how we access the Excel Options. Well let’s go into Backstage View and in Backstage View right down at the bottom, Options. Now the Excel Options is really a big dialog box and you should know by now that if you want some help at any point, you’ve got the link through here, the question mark that takes you through to Help. And the dialog box is arranged into a set of Pages. So we have a General Page, we have a Formulas Page, Proofing, Save, Languages, and so on. Now some of these I’m going to talk about later on in the course, but I want to talk about a few of the main straightforward settings to get you started. And let’s go back to the General Page first. Now three-quarters of the way down that page there’s a section marked “Personalize your copy of Microsoft Office” and in there you should have your own user name. This user name will be used to annotate the workbooks that you create. And it can be used in a number of other situations to do with making changes to workbooks and so on. But either put your own name or a sort of code name or something in there. And the other thing you can do here, I’m not going to go into this in detail now but you might like to look into it, is that you can choose the Office Theme and Office Background that you want to use. Now these basically relate to a common approach, a common Theme throughout your use of many of the Office 2013 components. I’ve got mine set here at the defaults. Now when we talked about Help earlier on, I didn’t really talk about what are called screen tips. Let me hover over one of the rows in the first section on the General Page of the Excel Options and what pops up there is what’s called a screen tip. It says “Show mini toolbar on selection.” That’s Bold. That’s the tip. And then below that the other text is referred to as a deature description. Now this can be very useful to have these screen tips and feature descriptions appearing whenever you’re using Excel, particularly when you’re new to Excel it will tell you what a particular command, what a particular button does, and then also give it a little bit more of a detailed description of what it does. Now after you’ve been using Excel for a while, you may not need those screen tips and this first section on the General Page let’s you switch them off or partially off. If you look at this drop down it says, Screen Tip Style. Show feature descriptions in screen tips. That’s the sort of full on version of screen tips. If you said I don’t want the feature descriptions, you’ll only get the tip, the title if you like. And if you select don’t show screen tips, you won’t get anything at all. Now I’m going to choose the middle option, so don’t show feature descriptions. Any changes you make in Excel Options only actually get executed when you click the OK. So let’s click on OK. To make data entry easy, and help prevent errors, make an in cell drop down list in Excel. First, create a list of items in an Excel table. Then use Excel data validation to make the drop down list with those items. People can quickly select from your list, instead of typing. Go to my website to get the free Excel workbook. http://www.contextures.com/xlDataVal01.html '---------------------- Transcript for How to Make a Cell Drop Down List in Excel 2010 In this workbook, we have a list where we're going to assign staff members to each week. I'd like a drop down list in this cell so it's easy to select a name. On another sheet in the file, I've created a list of names with the title Employees at the top. The first step will be to create a Named Table, and to do that, I'll go to the ribbon, and click the Insert tab, then click Table. Here's the Create Table window, and it's already selected the range where my list is. I'm going to say yes there are headers because this cell is a header, so check that box and click OK. We now have a table and if I click somewhere in that table, I can see its name up here in the Table Name box. I'm going to use these employee names in my drop down list. The next step will be to give an Excel name to the range of cells where the employee names are. I'm going up to the ribbon, and on the Formula tab and in this Defined Names group, I'll click Define Name. I'm going to call this EmpList, the short version of Employee List. The scope will be the workbook, I want to be able to use this name anywhere in the workbook. I won't add a comment, and right now it's just showing the cell I have selected on the worksheet. I'm going to delete that. For the Refers To, I want it to refer to this table. I'm going to click an =, and click this button to go to the worksheet. If I move my pointer just to the top of the column, and click there, it picks up that table and shows the name of the column. This is Table 1 and the Employees column. Click the button to go back into the Dialog box. This name is going to be equal to whatever is in that column and as the column grows or shrinks, it's going to keep track of it for us. Click OK and we now have a name in our workbook that we can use in a drop down list. I'm going back to the other sheet. These are the cells where we want the drop down list. I'll select all of those cells, and on the ribbon, go to the Data tab, and click Data Validation. Instead of just any value, we want to allow a list. In this source box, I'm going to type an =. On your keyboard, press the F3 key, and that opens up a list with names. There's the name I created. I'll select that and click OK, and it puts it in for us. When I click OK now, I've got data validation. So each cell that I click on, you'll see the drop down arrow. I can select anyone of the names, go down, and assign an employee to each week without trying to remember all the names. It creates that list so the data entry is easy for us.
