Here are the 5 steps to setting up payroll for the first time. 1) Get your IRS registration information in order, including your: - FEIN - Legal business name - Deposit schedule, which is sent by the IRS 2) Register with your state agencies These differ state by state, so make sure you're registered with the right agencies in your state. 3) Get all your employee paperwork together, including: - Form I-9, which confirms their eligibility to work in the US - Form W-4, which includes your employee's federal withholding allowances - Your state's W-4 equivalents, so you know how much to withhold for your employees' state income taxes 4) Pick a payroll schedule Pick one that's both compliant in your state and works for your business's natural cashflow cadence 5) File new hire reports with your state Every time you hire a new employee and run payroll, you need to file a new hire report within a short period of time. This notifies your state about the incoming payroll taxes, and, it allows the state to check if that employee needs any garnishments. You then give all that information to your CPA or payroll provider so they can set it up and start running payroll for your company. Since such a small percentage of people were paying taxes, it was easy for the government to ensure that everyone was compliant. They assured us that only these ‘Fat Cats’ would pay --- until they 'changed their mind' to expand the tax burden to include everyone. “But it’s war time! The budget is suffering and we need your help! Don’t worry…this tax won’t be around forever!” And so we all began to pay. What the government realized quite quickly was that they could rapidly lose control of compliance and collections since there were now so many people paying taxes. They also realized that since they were taxing people a percentage of their salary, the tax debts could add up to the point that the taxpayers just couldn’t afford to pay it back. Taking control with “Pay as you go”: In 1943, Congress passed the Current Tax Payment Act. The idea was born from Beardsley Ruml, an executive for R.H. Macy & Co. and adviser to Roosevelt. In his experience in working with customers from Macy's, he noticed that people didn’t like big bills --- they instead liked to make partial, smaller payments. His “Pay as you go” idea grew into this act that required employers to withhold a percentage of federal income taxes from their employees wages. The employers would then be responsible for paying the government on the workers behalf. Withholding was a great way to keep control of the masses. It’s easier to police a smaller number of taxpayers, and, employers are easier to influence as they have more at stake. Understanding withholding and payroll taxes: Payroll withholdings are the taxes and benefits paid by the employee and include: Employee portion of Social Security tax - 6.2 percent Employee portion of Medicare tax - 1.45 percent (a 0.9 percent Medicare surtax when the employee earns over $200,000) Federal income tax State income tax Court-ordered withholdings As an employer, you are technically the 'trustee' and are holding this money 'in trust' for the government until your quarterly payment is due (4/15, 6/15, 9/15, 1/15). Technically, this is not your money... it is the governments. The law also requires you to pay the employer's portion of two of these taxes: a 6.2 percent Social Security tax a 1.45 percent Medicare tax (the “regular” Medicare tax). We have a lot of clients that are dealing with payroll tax debt. The stress can feel overwhelming, and you may make poor choices trying to solve the issues on your own. It’s a scary thing because you are talking about not only your own livelihood, but also the livelihood of your employees. Scarier still is that you are personally liable for this debt; it's not just the responsibility of 'the business' to pay it back. In our experience, we find that 98% of payroll tax problems are caused by cash flow. Cash flow problems can easily spiral out of control, and can be caused by a client that burns you, a natural disaster, a lawsuit, or employee embezzlement, to name just a few reasons. Unfortunately, we find that the nicest people end up with payroll problems because they may be afraid to lay any employees off. These are honest people that didn’t take the money for their own use; they took the money and put it into the business to keep the lights on, or to pay for supplies hoping to turn the business around. They are misunderstood, hard-working, and are simply trying to make ends meet. We’ll talk more in depth in tomorrow’s article about payroll tax solutions and negotiations, but bear in mind that sometimes if you lay people off, you may be able to get your issue under control and end up re-hiring them. When you’re just starting out in the workforce it’s important to learn the difference between gross pay and net pay. Gross pay is what you earned before deductions, like taxes. Net pay is what’s left in your check after all the deductions are taken out. So who or what is FICA? It is the Federal Insurance Contributions Act Tax, which is comprised of Social Security and Medicare taxes. It’s called a payroll tax because it takes money out of employees paychecks every pay cycle. FICA taxes are currently more than 7.5 percent of everyone’s paycheck until you reach a cap. Employers pay an equal amount of FICA taxes for each employee. And even if you don’t pay any income taxes, you still pay FICA taxes. Social Security taxes fund retirement benefits for retired workers, as well as benefits for the disabled and their dependents. The funds received for Medicare, on the other hand, are used to provide medical benefits for certain individuals when they reach age 65. Workers, retired workers, and the spouses of workers and retired workers, are eligible to receive Medicare benefits once they reach retirement age. So if you’re working, it’s your money that helps pay for those benefits. And it’s a lot of money too. In 2015, federal payroll taxes generated $1.07 trillion in revenue for the government, accounting for about one-third of all federal tax revenues.

Withholding Taxes: How to Calculate Payroll Withholding Tax Using the Percentage Method There are multiple ways to calculate withholding taxes. One way is by using the Percentage Method. To begin using the Percentage Method, you must have the employees W-4 form. The employees W-4 form will outline how many allowances the employee is claiming. This information is always necessary when calculating withholding taxes. Your first step is to determine your payperiod, whether you are paying on a weekly, biweekly, or monthly basis. You will then multiply one withholding allowance for your payroll period by the number of allowances indicated on the employee's W-4 form. Next, you will subtract this amount from the employees wages. You will then go to Publication 15, pages 43-44 and use the Percentage Method Withholding Tables to determine the amount of withholding taxes for your employee. Please make sure that you are using the correct IRS table, the correct pay period section and the correct marital status column. All of these steps are outlined in the above video with two very detailed step by step examples.

[email protected] | 720-379-3425 One question that I get asked quite often, because it’s a really good question, is how the owner of a single-member LLC is supposed to pay him/herself. There are two possible answers to this question, depending on how the LLC is taxed. Unless the LLC elects otherwise, a single-member LLC is considered a “disregarded entity” and all of the income to the LLC is treated as income to the business owner, and is all subject to self-employment tax. So basically, the owner of a single-member LLC can pay himself however and whenever he wants, keeping in mind a few important considerations: 1. Make sure you are prepared to pay taxes. Since the LLC is a disregarded entity, if the business earns $100k but you only “pay” yourself $50k, you are still going to be responsible for paying all of the taxes, including self-employment taxes, on the full $100k. (For simplicity’s sake, I am pretending there are no deductions or anything.) So you need to set aside enough money to make sure you can cover your taxes. 2. The business has to remain adequately capitalized. This means that you need to keep enough money in the business to cover all your overhead, debts, bills, salary for employees, etc. You should also leave some extra “padding” for possibly building up your business, purchasing equipment, and whatever else you may decide to do with your business. In the books, any payments to yourself should be recorded as “Member Distribution” or “Member Withdrawal.” If the LLC elects to be taxed as an S Corporation, on the other hand, you have to be paid a “reasonable” salary. Self-employment taxes will only be paid on that salary rather than on the full amount of profit the business earns. Any money that the business owner takes above that reasonable salary is considered a dividend and won’t be subject to self-employment taxes. If your LLC is taxed as an S Corp, then the salary you earn can be part of your payroll, and any additional dividends will be separate from that. Whether or not you elect to have your LLC taxed as an S Corp and how to handle and record the money that you pay yourself is an important conversation that should be had with your accountant, bookkeeper, & attorney. BrightPay UK 2015/16 Tutorial Videos - www.brightpay.co.uk Should you need to make amendments to employees’ payslips that have already been finalised, these can be re-opened and processed again. To re-open payslips in the last period processed, return to this payroll period by either clicking the ‘Previous Period’ button on the menu bar or by selecting the period on the payroll schedule. Click on ‘Re-open Payslips’ to view your list of employees. If you wish to re-open all your employees’ payslips simply click ‘All’, followed by ‘OK’. Alternatively, if you only wish to re-open payslips for some of your employees, tick the employee or employees required and click ‘OK’. These payslips will now be available for editing and finalising again. To re-open more than one finalised period for one or more of your employees, select the period you wish to go back to on the payroll schedule Click on ‘Re-open Payslips’ to view your list of employees. Please note this procedure will re-open all subsequent payroll periods you have finalised for the employees you select. If you wish to re-open all your employees’ payslips again simply click ‘All’, followed by ‘OK’. Alternatively, if you only wish to re-open payslips for some of your employees, tick the employee or employees required and click ‘OK’. This pay period as well as all subsequent pay periods will now be open for processing the selected employees again. If you have already submitted one or more Full Payment Submissions to HMRC for the payslips you have re-opened, if the employee's pay date matches the pay date that was included in the original FPS, an amended FPS will not be created on re-finalising. Instead an Additional FPS can subsequently be created and submitted to HMRC to report the change. If a different pay date is used on the employee's payslip, a new FPS will be created and can be submitted to HMRC immediately. If an FPS has been created but not yet submitted to HMRC, any amendments made to an employee's payslip will be automatically updated within the unsent FPS when the payslip is finalised again. If all employees’ payslips are re-opened, the unsent FPS will be deleted altogether. Please note, if you discover an error in any of the year to date totals submitted in your final FPS or Additional FPS for the tax year and it is now after 19th April following the end of the tax year, then only an Earlier Year Update (EYU) can be submitted. An EYU simply reports the adjustment made in the payroll as opposed to reporting restated year to date totals for the tax year to HMRC. For example, if you previously submitted a year to date pay figure of £10,000 for an employee on your last FPS for the year, then realise that the figure should have been £12,000, after making the correction, the EYU will submit the change to the pay figure as ‘+£2000’. To submit an EYU, first re-open the payslips, make your amendments and finalise accordingly. Next, in the RTI menu, select Earlier Year Update (EYU) from the New menu and submit to HMRC. In this video I will tell you how you can calculate and print pay-slips for free. The system does not require an account and non of your private information leaves your computer. Because this is web based it works on any device with a web browser. Visit http://www.payesoft.com/webcalc.html Set the frequency, tax year, you don't need to use the pay date unless prompted. Tax period, Basis would normally be cumulative, and the national insurance information. Enter the basic pay and any other allowances, then any deductions. The last bit is brought forwards, this is used to enter totals from the previous pay period. You can now click the calc button. The information is sent to PAYEsoft where it is calculated and the results are sent back. You can now enter the information about the employee by selecting fields marked with an * and type in the relevant information. This information dose not leave your computer as this is now just a template. You can now print, note the advertising will not show up on your print out. If you would like to print to a PDF file, please watch my video "How to print payslips to PDF" We will use this information to produce the next pay periods pay-slip. Set their pay rate and Square automatically takes taxes out accordingly. Employees are paid with funds taken directly from your linked bank account. Learn more at https://squareup.com/help. Keyword: Payroll. Transcription: Square Payroll helps you pay your whole team in just a few clicks. Simply import any timecards or enter your employees’ hours. We calculate all the taxes for you, and even email your employees to tell them they’ve been paid. Start by logging in to your Square Dashboard. Then, click Payroll, and Run Payroll. Here you can enter and edit your employees’ hours and earnings for your upcoming pay period. If you are tracking timecards with the Square app or a partner timecard app, simply click Import Timecards in the top-right corner. Your employees’ hours for the pay period automatically appear in the appropriate column. If you’re not using integrated timecards or would prefer to manually enter employee hours, simply click the Regular Hours column and type in each employee’s hours. To add additional earnings such as commissions, bonuses, or tips, click the plus sign on the right side of the screen to select the columns you need. Then, enter the hours or additional earnings. There are many different types of hours and earnings you can capture with Square Payroll. Regular hours are the number of hours worked during the pay period that are calculated at the hourly rate. Overtime hours are calculated at one-and-a-half times the hourly rate, and double overtime at two times the hourly rate. The Additional column lets you include any extra earnings, like commissions or bonuses. These are taxed at the normal rate. You can also add any tips your employees have earned. Paycheck tips are tips to be paid out in the paycheck, typically credit card tips. We withhold tax and include the net amount in the employee’s deposit. Cash tips are tips already paid out in cash. We calculate and withhold the tax, and don’t include this pay in the employee’s deposit. Once you’re finished with the hours and earnings page, click Continue in the top-right corner. Next, you can make any adjustments to your employees’ paycheck. Deductions can be adjusted on this screen, or added to an employee’s profile at any time. Select Continue when you’re done. Now you can see the Review page with a summary of the payroll run and exact amount to be withdrawn from your bank account. If everything looks good, click Confirm Withdrawal. We’ll withdraw funds from your bank account by 8 p.m. Pacific Time. If you need to cancel the pay run, you have until 7 p.m. Pacific Time. Square Payroll makes it easy to pay your whole team.

In this 9 minutes video I have discussed 10 Key things a payroll professional needs to know to be able to run payroll efficiently and effectively. Payroll software, Workplace pensions, PAYE (tax and NIC) class 1 primary national insurance and class 1 secondary national insurance, other deductions such as attachment of earnings order, rental, loans and advances, student loan deductions, statutory payments such as statutory maternity pay, statutory paternity pay and statutory sick pay etc., annual leave entitlements, policies and calculations, payroll forms such as p45, p60, p11d and HMRC employee starter checklist, RTI (real time information) full payment submission fps, employer payment summary eps and finalising payroll. Every month you have to pay HM Revenue and Customs (HMRC): the tax and National Insurance (and any other deductions) you owe as reported on your Full Payment Submission (FPS) in the previous tax month minus the reductions on any Employer Payment Summary (EPS) you sent before the 19th in the current tax month. Pay what you owe by the 22nd of the month (or the 19th if paying by post) - you may have to pay a penalty if you don’t. As an employer, you normally have to operate PAYE as part of your payroll. PAYE is HM Revenue and Customs’ (HMRC) system to collect Income Tax and National Insurance from employment. You don’t need to register for PAYE if none of your employees are paid £112 or more a week, get expenses and benefits, have another job or get a pension. However, you must keep payroll records. Payments and deductions When paying your employees through payroll you also need to make deductions for PAYE. Payments to your employees Payments to your employees include their salary or wages, as well as things like any tips or bonuses, or statutory sick or maternity pay. Deductions from their pay From these payments, you’ll need to deduct tax and National Insurance for most employees. Other deductions you may need to make include student loan repayments or pension contributions. Reporting to and paying HMRC Reporting pay and deductions If you run payroll yourself, you’ll need to report your employees’ payments and deductions to HMRC on or before each payday. Your payroll software will work out how much tax and National Insurance you owe, including an employer’s National Insurance contribution on each employee’s earnings above £155 a week. You’ll need to send another report to claim any reduction on what you owe HMRC, eg for statutory pay. Paying HMRC You’ll be able to view what you owe HMRC, based on your reports. You then have to pay them, usually every month. If you’re a small employer that expects to pay less than £1,500 a month, you can arrange to pay quarterly - contact HMRC’s payment enquiry helpline. Other things to report As part of your regular reports, you should tell HMRC when a new employee joins and if an employee’s circumstances change, eg they reach State Pension age or become a director. You have to run annual reports at the end of the tax year - including telling HMRC about any expenses or benefits.
